Palmetto Car Service® – Terms of Service, Booking Policy & Paid Reservation Agreement
1. Binding Agreement & Policy Priority
By booking, approving a quote, or submitting payment to Palmetto Car Service LLC, you acknowledge and agree:
- This is a legally binding agreement
- Paid Reservation Receipt & Confirmation supersedes all other documents in the event of conflict
- You accept full responsibility for all passengers and all charges
- You agree not to dispute valid charges in accordance with these terms
If you do not agree, do not proceed with booking.
2. Quote vs Confirmed Reservation
- Quotes are NOT reservations
- Reservations are secured ONLY when:
- Dispatch reviews and approves the trip
- Payment is processed
- A Paid Reservation Receipt & Confirmation is issued
All bookings are first-come, first-served
3. Payment & Prepaid Policy
- ALL reservations are PREPAID
- Your card is charged in full once approved
- Your vehicle and chauffeur are reserved exclusively and removed from availability
ALL PAYMENTS ARE NON-REFUNDABLE AND NON-CANCELLABLE PER THESE TERMS
4. Cancellation & No Refund Policy (Strictly Enforced)
4.1 Airport & Point-to-Point Reservations
- NON-REFUNDABLE within 7 DAYS of scheduled pickup
4.2 Special Events & Hourly Services
- NON-REFUNDABLE within 90 DAYS of scheduled service
4.3 Absolute No Refund Policy
- NO REFUNDS under ANY circumstance
- Includes:
- Weather (non-hurricane)
- Personal cancellations
- Schedule changes
- Missed trips
- Booking errors made by client
4.4 Flight Cancellation Credit (Airport Only)
Credit is issued ONLY if:
- Your arriving flight is canceled by the airline
Credit terms:
- Valid for 60 days
- Subject to availability
NOT eligible:
- Passenger cancellations
- Missed flights
- Schedule changes or delays
5. Client Responsibility & Booking Accuracy (Critical Clause)
The client is solely responsible for ensuring ALL booking details are accurate at the time of reservation, including but not limited to:
- Correct date
- Correct pickup time
- Correct flight information
- Correct pickup/drop-off address
- Correct phone number
- Correct email address
Important Acknowledgment
- Palmetto Car Service LLC sends:
- Immediate booking submission email (based on client entry)
- Paid receipt after dispatch approval
- 48-hour reminder with full trip details
Because of these multiple confirmations:
- There is no valid reason for errors to go unnoticed
- Any failure to review details is the client’s responsibility
Error Handling Policy
- If a client makes an error:
- Palmetto Car Service may attempt to assist or adjust
- HOWEVER, corrections are NOT guaranteed
- Changes are subject to availability and scheduling
No Liability for Client Errors
- Palmetto Car Service LLC is NOT responsible for client-entered mistakes
- NO refunds or credits will be issued due to:
- Incorrect booking details
- Missed rides caused by incorrect information
6. Airport Pickup, Wait Time & No-Show
- Includes 40 minutes complimentary wait time after actual landing
- After 40 minutes → billed at hourly rate
Failure to meet chauffeur:
- Considered a No-Show
- Full reservation is charged
7. Non-Airport Wait Time
- 2-minute grace period
- Then: $2 per minute
8. Direct Service & Stop Policy
- All rides are direct service unless booked otherwise
Additional stops:
- Mid Class: $35 per stop
- Luxury: $60 per stop
9. Minimum Service Requirements
- Black Luxury Vehicles: 3-hour minimum
- Mid Class Vehicles: 2-hour minimum
10. Vehicle Cleanliness, Food & Biohazard Policy
Food & Beverage
- NO FOOD allowed
- Only sealed beverages permitted
Cleaning Fees
- General mess: Starting at $400
Biohazard Policy
Includes:
- Vomit, urine, feces
Fees:
- If properly cleaned immediately → $400
- If not cleaned / fails sanitation → $800
Important:
- Drivers cannot clean biohazards
- Professional cleaning required
- Fees are mandatory
11. Vehicle Damage Responsibility
Client is responsible for:
- All passenger damage
- Interior/exterior damage
- Repair and downtime costs
12. Pets & Shedding
- Must be disclosed
- Cleaning fees: $250–$400
13. Smoking, Alcohol & Conduct
- NO smoking or vaping
- NO illegal substances
- NO open alcohol containers
Service may be terminated WITHOUT REFUND
14. Child Seat Policy
- Available: $25 each
- Client installs and secures
15. Capacity & Luggage
- Must book correct vehicle
- Overcapacity may result in refusal or charges
16. Driver Communication
- Driver texts upon arrival
Pickup:
- Mid Class: curbside
- Luxury: inside meet & greet
17. Gratuity
- Optional for standard rides
- 10% minimum for hourly services
18. Lost Items
- Not responsible
- Return may include fees
19. Operational Delays
Not responsible for:
- Traffic
- Weather
- TSA / airport delays
- Airline issues
20. Late Booking Policy
- After 8 PM → confirmed next day at 7:30 AM
21. Travel Insurance
We strongly recommend travel insurance.
22. Chargeback & Dispute Protection
By booking, you agree:
- Charges are valid
- You will not dispute valid charges
- Violations may result in:
- Collections
- Legal action
- Additional fees
23. Changes to Terms
Terms may be updated at any time.
Latest version applies.
24. Final Acknowledgment
By booking and payment, you confirm:
- You read and accept all policies
- You understand all fees
- You accept full responsibility
- You agree to this binding contract
